Ed Fund Job Description

Executive Board

President

The President shall be the chief executive officer of the Fund.  The President shall preside over all meetings and the annual meeting of the Fund, shall, in general, supervise and control all of the business and affairs of the Fund, and shall be responsible for reporting to the Foundation, as required, on the activities and operation of the Fund.  He/She shall be an ex-official member of all committees except the nomination committee.

 

Vice President

The Vice-President shall, in the absence of the President, or in event of his/her inability or refusal to act, perform the duties of the President, and when so acting, shall have all the powers of and be subject to all the restrictions of the President.  The Vice-President shall perform such other duties from time to time as may be assigned to him/her by the President or the Board of Directors.

 

Treasurer

The Treasurer shall have charge and custody of and be responsible for all funds and securities of the Fund, and shall be responsible for providing the Foundation with all financial and accounting data required of the Fund.

Maintain balance sheet for monthly meetings.

Communicate with banks, insurance agencies, and other third party vendors that we deal with.

File taxes annually.

 

Secretary:

The Secretary shall keep the minutes of the annual meeting and meetings of the Board of Directors, see that all notices are duly given in accordance with the provisions of these Bylaws, be custodian of the Fund's records, and in general perform all duties incident to the office of Secretary.

 

Directors:

Vote on matters pertaining to the allocation of funds donated.

Plan and vote on the annual budget

 

 

Ed Fund Chairs

 

Registration:

·         Coordinates with PTA Registration committee chairperson.  Obtains dates and deadlines fo r submitting registration material and discusses any changes in registration procedures.  PTA has booklets that they provide at registration that references contact information for the EdFund Board, volunteer opportunities, and possible upcoming events.  Any information contained in those booklets must be verified and updated

·         Obtains information from the Ed Fund regarding budget numbers and other pertinent information for the following school year.  Creates, updates and/or revises materials for communications to parents about the vision, goals and purpose of the Ed Fund, including donation forms and donation receipts.

·         Coordinates the prining services for the Ed Fund registration Materials, whther through donated services, or the District Office’s print shop.  Ensure all materials are delivered to appropriate location by deadline, prior to packet stuffing.

·         Coordinates Ed Fund mumbersor other volunteers to work registration day.  There should be at least two people at the Ed Fund boot ath all times, with additional volunteers at any other Ed Fund booths (ie, eScrip, Corporate Match, Auction), as necessary.

·         If applicable, create, update or revise a donation installment form.  Send notices to families who have pledged to donate more at the installment date.  Work with Treasurer on obtaining the names and contact info of those families

 

E-SCRIP COORDINATOR

·         Work at registration table to collect E-Scrip forms that were placed in the registration packets.

·         Obtain a list of families from the office of Bollinger Canyon and highlight those already in the program.

·         Work to add new members, both at the registration table and through follow up phone calls and email.

·         Register all new members at the E-Scrip website. This includes completing and faxing Add Change forms to E-Scrip for those whose card is registered elsewhere.

·         Follow the total every month of the E-Scrip donation.

·         Comply with the Safeway “Fitness and Nutrition Reporting” each month to show our contribution to their fitness program.

·         Attend monthly Ed Fund meetings with updates from the program.

 

PTA LIASON

·         Attend monthly PTA meetings, noting their upcoming events and plans.

·         Attend monthly Ed Fund meetings, noting their upcoming events and budgeting.

·         Report at each meeting about the happenings of each group.

 

Site Council Laison

·         Attend monthly Site Council meetings, noting their upcoming events and plans.

·         Attend monthly Ed Fund meetings, noting their upcoming events and budgeting.

·         Report at each meeting about the happenings of each group.
